The IQ Fax Archive Connector for RightFax

Managing the storage of faxes on a high volume RightFax system can be a nightmare for administrators. Retention policies often require that faxes be kept for years, but maintaining a large number of faxes in RightFax can be detrimental to performance – slowing down the RightFax system to the point where it becomes unusable. The best course of action is to get those faxes out of RightFax and archived into a true document management system.

The IQ Fax Archive Connector for RightFax allows administrators to balance fax retention policies with the preferred practice of purging faxes. RightFax can be configured to schedule faxes to be archived after a specific period, and the IQ Fax Archive connector will automatically save a copy of the fax and all its associated metadata into a powerful document management system. Once your fax has been archived, RightFax will purge the fax from its data store during its nightly maintenance period.

Finding a specific fax can be extremely frustrating when using FaxUtil – especially when there are years’ worth of faxes to search through. IQ Fax Archive has a built-in OCR engine that will convert the fax image into searchable text, allowing administrators to not only search on fax metadata – such as Date, Owner, etc. – but also perform full-text searches on the actual content of the fax. Typically, when you place an order online, you immediately receive confirmation via email that your order was successfully received. Having a reliable way to confirm the successful receipt of an inbound fax can be critical for organizations that transmit time sensitive information, especially those in the healthcare and finance spaces.

Most auto-reply fax solutions rely solely on the Caller Id to provide the information on where to send the auto-reply fax. This was not a large issue when faxes were sent mainly from fax machines connected directly to a phone line. However, with the rise of server-based fax solutions caller id information is not always sent reliably, leading to massive auto-reply failures.

The Advanced Auto-Reply Module gives you the ability to reply to incoming faxes with a personalized, branded template that features a thumbnail image of the first page of the sender’s original fax. This tool ensures a high success rate of outbound auto-reply faxes using complex logic to determine where to send the auto-reply. It uses the following three ways to determine the appropriate number:

  1. The CSID of the incoming fax
  2. The ANI (Caller ID) of the incoming fax
  3. A translation table that maps the CSID of the incoming fax to a valid fax number.

This translation table is the key that makes the Advanced Auto-Reply Module the most powerful solution available. The translation table is automatically populated with the CSID of any failed auto-reply fax. The fax administrator can then add a proper fax number for that CSID. Subsequent attempts to send an auto-reply will then use the translation table to find the correct reply fax number based on the provided CSID. Problem solved.

Due to the recent outbreak of the WannaCry ransomware and other malware based on EternalBlue exploit, customers have been contacting the Advantage Technologies helpdesk asking us how they can better protect their RightFax servers and Fax Gateways. We recommend that all RightFax servers, gateways or SBCs running Windows operating systems be treated as any other Windows Server, with regular OS updates and backups. This includes Dialogic DMG4000 gateways, and Sonus SBC 1000/2000 models with the ASM Module (SBCs without the ASM module have no Windows components and are not affected).

Customers running supported versions of the Windows operating system will have had access to security update MS17-010 (https://technet.microsoft.com/en-us/library/security/ms17-010.aspx) since March. If automatic updates are enabled or the update has been manually installed, their servers are protected. The supported Windows versions are:

  • Windows Vista
  • Windows Server 2008
  • Windows 7
  • Windows Server 2008 R2
  • Windows 8.1
  • Windows Server 2012
  • Windows Server 2012 R2
  • Windows 10
  • Windows Server 2016

We encourage the installation of the update as soon as possible on any Windows operating system vulnerable to the exploit.

Many organizations depend on hosted and cloud-based technology solutions to help improve their business workflows, reduce paper-related costs, and increase employee productivity. Fax is an effective channel of communication for business; more often than not, it is usually part of a larger workflow. Received faxes need to
be imported into some line-of-business application, say an EMR system or a document management application, to be processed. Quite often, matching a fax
to the correct record in the application is a manual process, making the correlation of data expensive and prone to user error.

What’s the alternative? To automate this process, some might think that a customization of the import routine would be the way to go, requiring extensive custom developmentto implement your specific business rules. This can be expensive and rigid, requiring the rewriting of code should your line-of-business application need to be upgraded or your business rules changed. It would be preferable to do as little custom coding as possible, and use off the shelf modules and software to automate the process. Leveraging the add-on modules of RightFax will allow us to automate this process, while writing very little custom code.

Let’s say that it is necessary to provide an account number to your line-of-business application to be able to automatically match an imported fax to a specific account. Also, let’s suppose that there is a database that contains both the account number and the account’s related fax number. The simple solution would be to look up an account number based on the caller id for a received fax before it is imported into an application, and provide that account number to the import process.

Let’s see how.

First, we can use the RightFax XML Generator Module to write both the body of the fax and some metadata to a specific folder (call it the XML INBOX). The XML Generator allows us to customize the output of the metadata, choosing the information that we need. Let’s say we want the DID (the inbound fax number,) the ANI (caller ID) and image filename to be included in the metadata.

Second, we configure an input in the RightFax Integration Module to monitor the XML INBOX folder and perform an action on any XML file that it finds. Here’s is where we do some custom development. I would suggest writing a simple PowerShell script that performs the following steps:·

  • Open the XML file
  • Reads the ANI
  • Runs a SQL query to lookup the related account number
  • Writes the account number back into the XML file
  • Moves the image file and the XML file to another folder for importing (call it the IMPORT INBOX)

Finally, a second input is created in the Integration Module to monitor the IMPORT INBOX folder and to run the command to import the fax into the line-of-business application, using the account number that has been added to the XML file.

All told, you are looking at about 50 lines of custom code. This mans there is little risk to automating this process. If the process needs to change, all that is necessary is to update your PowerShell script.

The previous example illustrates the power and flexibility of leveraging a few of the add-on modules to automate steps in your overall business process workflow, saving your usiness time and money. End of Support Looming for RightFax and Windows Server Products

RightFax 10.0 no longer under Current Maintenance as of July 2015RightFax 10.0 will be entering Sustaining Maintenance as of July 2015. That means OpenText will no longer create any new patches or fixes for RightFax 10.0. Microsoft Windows Server 2003 Support is Ending July 14, 2015
Please take note that as of July 14, 2015, Microsoft support for Windows Server 2003 will end. This update will affect those users running RightFax 9.4 or earlier on Windows Server 2003. End of Support for Windows Server 2003 means there will be:

  • No updates developed or released.
  • No compliance and lack of compliance with standards and regulations.
  • No safe haven because virtualized and physical instances of Windows Server 2003 will be vulnerable.

Please ensure that your business has a plan to migrate the applications and workloads currently relying on Windows Server 2003 onto Windows Server 2012 R2. If you require assistance in migrating your RightFax server, then you may be interested in our Professional Services.

If an upgrade of .NET is required on your RightFax server, we recommend performing the upgrade in a test environment, and testing key
functionality within the environment to ensure no problems arise. Newer versions of .NET are meant to be backwards compatible with applications that
use older versions of the framework. Even so, updates to the .NET framework can cause unforeseen issues, and therefore we typically recommend
running the version of .NET on your server that was used to compile your version of RightFax.

RightFax has multiple modular licensing options, making it easy to integrate fax into your organizational workflow, allowing for increases in security and productivity. While many of you may be familiar with modules such as the Microsoft Exchange module or MFP module, there are a few lesser known, but powerful modules that you may find quite useful for your organization:

1. Encryption Module – One of the newer modules, made available in Rightfax 10.6, the RightFax Encryption module encrypts all fax images stored in the RightFax Image Directory, by encrypting all data at rest with TripleDES 192-bit security, adding an extra layer of protection for fax images and content. The RightFax Encryption module supports PCI-DSS and HIPAA compliance, making it important for those exchanging protected or sensitive information.

2. Searchable PDF Module – Not to be confused with the PDF module (allowing you to print PDF documents directly to the RightFax print queue as well as receive them as file attachments when using the RightFax email modules), the RightFax Searchable PDF Module uses optical character recognition (OCR) to convert sent and received fax images to searchable text. Instantly identify and retrieve the fax(es) you need by searching for keywords.

3. Integration Module – One of the more powerful modules, the Integration Module ties back-end systems into RightFax to automatically deliver documents by fax, email, print, SMS, certified email, or certified and encrypted email. Delivery from Oracle, SAP, ERP, and CRM systems is easily customizable with RightFax facsimile command language (FCL), XML, Java, and more. Delivery confirmation and audit trail data can be inserted into ERP and other back-office applications.

4. Shared Services - The RightFa x Shared Services Module enables two to four RightFax Servers to operate as a single unit by sharing a single database. It increases performance and capacity by distributing workload across servers. The module adds high availability through duplication of critical system functions, so it can keep running even if sites or servers go offline.

5. SecureDocs Module - SecureDocs certified delivery uploads your files to a secure web server in your own data center, and emails a link to the recipient. With password protection and secure web, your files are safe. To aid in security and compliance, SecureDocs also provides confirmation of receipt and an audit trail. PDF file encryption enables certified and encrypted delivery.

Cyber-attacks on healthcare organizations are on the rise. The percentage of healthcare organizations that have reported a criminal cyber-attack has risen to 40 percent in 2013from 20 percent in 2009, according to an annual survey by the Ponemon Institute think tank on data protection policy.

According this recent Reuters article, stolen health credentials can go for about 10 or 20 times the value of a U.S. credit card number. Medical identity theft is often not immediately identified by a patient or their provider, giving criminals years to abuse such credentials. According to experts who have investigated cyber-attacks on healthcare organizations, fraudsters use stolen data to create fake IDs to buy medical equipment or drugs that can be resold, or they combine a patient number with a false provider number and file made-up claims with insurers.

Last month, the FBI warned healthcare providers to guard against cyber-attacks after one of the largest U.S. hospital said Chinese hackers had broken into its computer network and stole personal information of 4.5 million patients. It is no surprise that secure faxing is increasing throughout the healthcare industry, as faxing remains one of the most secure ways of transmitting sensitive information, as it is a secure, end point to end point transmission.

RightFax 10.6 is now tested and certified with Cisco Unified Communications Manager (CUCM) 10.5 and Unity Connection 10.  

OpenText RightFax connects to telephony environments using Cisco Voice and Unified Communications Products through Plain Old Telephone Service (POTS) technology and using Fax-over-IP (FoIP) technologies. In a FoIP solution, OpenText RightFax can connect to Cisco Unified Communications Manager, Cisco IOS Voice Gateways, and Cisco Universal Gateways over IP networks. This integration to send and receive fax documents utilizes either Session Initiation Protocol (SIP) or H.323 and T.38 real-time Fax-over-IP.

Common document delivery solutions using OpenText RightFax and Cisco Voice and Unified Communications products consist of the following components:
• OpenText RightFax version 9.4 FP1 SR2 or later, containing either Dialogic® Brooktrout® SR140 software-only FoIP, or TR1034-series IP-enabled fax boards.
• Cisco Unified Communications Manager (CUCM)
• Cisco IOS Voice Gateways

Cisco Unity Connection can integrate with the Cisco Fax Server so that users can do the following while on the phone or while using the Connection Web Inbox (Connection 8.5 and later) or Messaging Inbox

• Receive faxes that are sent to the fax extension for the user. Depending on the system configuration, faxes will be available in the user mailboxes or in the user IMAP clients.
• Forward the faxes that they receive to a fax machine for printing.
• Forward the faxes that they receive to another user.


The Fax2Mail Connector for Xerox MFPs is now available. The Fax2Mail Xerox MFP connector gives Fax2Mail users the ability to access their accounts on the Xerox ColorQube 8700’s user interface. Now Fax2Mail users can walk up to the Xerox MFP and transmit fax documents through the cloud, enhancing worker productivity and cutting telephony expense.

Organizations across all industry seek to efficiently and cost effectively streamline their workflows. If your organization relies on a fax server solution, you may have conisdered moving to a cloud-based fax service. Cloud-based fax service could great alternative to an on-premise fax system. We have outlined the top 5 things to consider before migrating to a cloud based fax service:

1. Fax Image Retention - Where are your fax images stored? Since most cloud-based fax service providers leverage "store and forward" messaging systems, customers need to determine if their data and images can rest on the service provider's network for any period of time. Corporate security teams will typically work with Advantage in collaboration with a fax service provider to understand the cloud providers network resiliency measures, encryption standards, and security capabilities.

Additionally, customers need to make sure they address and understand security and/or encryption between the two networks - customer and provider; our fax service providers offer a number of solutions, including Enforced TLS encryption.

2. Inbound Fax Number (DID) Portability - Can I keep my existing fax numbers? One of the first steps in our process is to gather a list of all existing inbound fax numbers to verify if every number is portable. If any of the existing fax numbers are not portable, we then determine if any "non-portable" fax numbers can be changed to an alternative, suitable inbound fax number that the fax service provider can assign. If the numbers are not portable and cannot be changed; this may hamper your ability to leverage a cloud-based fax service. We are acutely aware that for many of our customers, inbound faxing is critical to their existing workflow and cannot be easily modified. This is typically not an issue for customers migrating from an on-premise fax server solution utilizing outbound fax only.

It is important to note that not all cloud fax service providers are created equal. Many fax service providers will retain ownership of your fax number, even if you decide to cancel their service. When you work with Advantage, you retain ownership of the number, even if you decide to cancel.

In rare cases when a number cannot be ported, call forwarding can be implemented from the phone system, or a Market Expansion Line (MEL) directly from the telephony provider. Please note that call forwarding is always an option, but may negate some of the benefits of the cloud solution.

3. On-Premise vs Cloud-Based Feature Set - Are all faxing features currently available in the cloud-based solution? Cloud faxing has evolved considerably since its inception, and will only continue to become a more powerful and robust solution. Whether the cloud feature set/workflow will work for your organization all depends on what you are trying to accomplish with a fax solution.

We work closely with our customers to conduct a detailed, side-by-side, comparison when looking to convert from on-premise fax systems to a cloud-based fax service solution. This allows your users to compare the differences between the two solutions and related workflow. This will help you determine which solution is the best fit, and also to set expectations should you decide to move to the cloud. Advantage Technologies can provide you with a demo account to evaluate the service.

In our experience, organizations already using their email client to send, receive, manage, and archive their inbound and outbound faxes are likely to have a seamless transition to a cloud-based fax solution. Our cloud fax service providers generally allow users to send and receive faxes using any on-premise, hosted, or cloud-based email system.

Finally, customers that want the best of both worlds - on-premise fax server software features and functionality and the ability to bypass on-premise phone systems and services can take advantage of our "hybrid" fax solution. Hybrid fax solutions leverages your existing on-premise fax system with a cloud-based fax service provider for fax telephony resources.

4. Third-party Application Integration - Can my existing third-party applications integrate with a cloud-based solution? In most cases, yes, but some evaluation may be necessary to determine which workflows you have in place and whether any changes may need to be applied to your fax integrations and/or workflows. Advantage Technologies will perform an assessment of your current working environment to help determine whether your applications can integrate with a cloud-based fax solution.

All of our fax service partners provide a number of integration options for customers. Advantage Technologies can leverage available API’s in order to integrate your application with the cloud-based fax solution.

5. MFP Device Connection - Can I continue to use my MFP device as I do with my on-premise server today? MFP integration with on-premise fax systems provides walk-up faxing for users without the need for local fax lines and fax boards on the device itself. This helps reduce the cost of ownership and gives users a single fax repository - their fax or email inbox to track, view, and manage faxes. In many cases, our cloud-based fax service providers can integrate with your existing MFPsby connecting devices securely over the Internet or via VPN. In some cases, usually after a server reboot, the RightFax service fails to automatically restart. This tech tip will help you configure a RightFax service to automatically restart if it fails to start on start up. You may receive an error message such as:

"The service did not respond to the start or control request in a timely fashion." 

and/or 

"A timeout was reached (30000 milliseconds) while waiting for the RightFax Exchange Connector service to connect."

To resolve, please take the following steps. These steps can apply to any RightFax service:

1. On the RightFax Server, (or any other module server) open Services.
2. Find any RightFax service.
3. Right click and select Properties.
4. Select the Recovery tab.
5. Change First Failure to Restart the Service.
6. Click OK.
7. Repeat steps 3 – 6 for all RightFax services including:
         Captaris Conversion Engine
         Captaris Sync Module
         Dialogic Corporation Boston Host Service

That is it. Your RightFax service should not fail to restart on subsequent server startups. Please contact support at 212-717-7700 if you have any questions or concerns.


Although it’s not mentioned in the installation or admin guides, you can now bulk import coversheets in RightFax 10.6, as opposed to uploading coversheets separately in previous versions of RightFax. Just go to the edit menu and select “Import Cover Sheets” while in the coversheets entry in the EFM Tree-View:

You can then select the coversheets from your old RightFax server (or other location) by either Shift-Clicking (to get a series of files) or Ctrl-Clicking (to select specific files) from the explorer view that pops up:

As noted in the file type drop down, RightFax 10.6 supports Word (doc, docx), HTML (html, htm), MSHTML (mht,mhtml) or PCL coversheets.

This is just a quick post to inform you that RightFax was not affected by the recent Heartbleed vulnerability bug. Heartbleed was a security bug in the open-source OpenSSL cryptography library, widely used to implement the Internet's Transport Layer Security (TLS) protocol.

RightFax uses OpenSSL version 0.9.8.10 for libcrypto.dll and version 1.0.0a for libeay.dll, which were one of the OpenSSL versions not affected by the heartbleed bug. The HeartBleed vulnerability was introduced in version 1.0.1. To read more about heartbleed,click here.

ESG Labs recently released a lab validation report about the effectiveness of Gridstore. ESG Lab performed initial hands-on evaluation of the Gridstore storage solution at Gridstore's Mountain View, California facilities. Highlights include:

  • ESG Lab installed a 3-node grid. The effortless installation required minimal administrator interaction and completed minutes after power-on with the storage immediately available for use.
  • The grid was configured using the intuitive Grid Control, an MMC snap-in.
  • After defining a profile for the grid, all nodes were auto-discovered and were automatically configured without administrator intervention.
  • ESG lab created virtual LUNs, which were recognized, formatted, and made available using standard Microsoft tools.

There is a known issue with the newest update to Adobe Reader (11.0.06) and Print-to-Fax. We advise our RightFax customers to not update to the latest Adobe until a patch is made available by OpenText. The issues is being tracked by bug tracking number RF-10668. If you have the latest Adobe, you can still use the print-to-fax utility with this workaround:

1. Navigate to Preferneces Menu

2. Under categories choose Security (Enhanced)

3. In the Sandbox Protection section, remove the check from checkbos Enable Protected Mode at Startup.

Do the signatures of your faxes have a low quality look? The lines of your signature look visibly faded or blurred in places, giving your signature a cheaply scanned appearance.

RightFax allows you to append and store your signature. Some users do this, but do not optimize their signature, giving it that poor quality look. We have outlined for you some easy steps you can take to achieve a high quality signature image to use on all your faxes.

Before we begin, make sure you already have installed Paint.net on your computer. You can download paint.net for free from sites like CNET.

When collecting signatures for use with faxing, we recommend using either an extra fine permanent marker or heavy rollerball pen with black ink, such as the Sharpie Industrial Extra Fine Point:

Heavier paper can help. 24# or 28# bright white bond paper is best as it provides excellent contrast and helps reduce ink “bleeding

1. First scan in your signature sample. We recommend 600dpi scans, but 300dpi will produce very good results as well.   

      2. Open the Image in Paint.Net and start by activating the Rectangle Select tool:2

     4.Press Ctrl-C or Select Edit|Copy from the menu bar

     5. Press Ctrl-N or File|New from the menu bar and set the DPI to match the scan resolution (300 in this sample) in the dialog. Do not change any other settings:

OpenText has received compliance certification at our Ashburn, VA data center with the Payment Card Industry (PCI) Data Security Standard (DSS). This certification by an independent auditor confirms the care we take to protect customer data – specifically it ensures our processes around transmitting faxes with credit card data in them are complaint with the PCI-DSS standards requiring that payment card data be kept private.

Many times neither organizations, nor their customers, realize that faxes contain payment card information. When trying to view faxes in FaxUtil or login to FaxUtil, "Error 231 in transacting named pipe" occurs.

Solution:

This error occurs for two reasons. Both are related to the RightFax database.

Cause 1: RightFax database unable to handle workload

You can expect this error regularly if you're sending a large batch of faxes each day at the same time.
If that is your situation, you might consider distributing the job throughout the day or adding an additional RightFax server.

Solution 1a: Determining work requests


To view the number of work requests that the RightFax server needs to process, log on to Enterprise Fax Manager, and then click Utility > Show work requests.

The number of work requests displayed for any field should not constantly increase during the day.

Solution 1b: Viewing RightFax processes

Use Task Manager to view processes on the RightFax server.
On the Processes tab, see if any processes are maxing out the CPU.
If the CPU is maxed out, then the Rightfax services and applications will run slower, possibly causing the "231" error.

Solution 1c: Viewing and increasing database threads

To view the status of the last RightFax database thread:
1. Open Enterprise Fax Manager.
2. Right-click the RighFax database module.
3. Select 'STATUS' from the dropdown menu
4. From the dropdown list of the status window, select the last database thread (NOT the file thread).
The last database thread should show total commands executed of zero. If it's not zero, increase the number of database threads by 2 and test again.
This number should not raise above 1 in a 24 hour period. If it is a large number within an hour after a restart, you should increase the number again immediately.
The idea is to fine tune the level so that the last thread is seldom used but you do not have a lot of threads that are unused.
Note: This will stop and restart the RightFax Server and database services.

To increase the number of database threads:

1. Right-click the RightFax Database Module.
2. Choose Configure Service.
3. Click the Advanced tab.
4. Select a value in the Max Threads list.
5. Click OK.

Please be aware that with 9.0 when using MSDE, there is a limit to the maximum connections that can be made to MSDE, and exceding this number can cause issues.

Status messages are color coded to indicate whether a transmission is successful or not:

  • Faxes with a green status indicator were transmitted successfully.
  • Faxes with a yellow status indicator have not yet been transmitted, or a transmission error occurred so the fax will be retransmitted.
  • Faxes with a red status indicator encountered transmission errors, and the server computer abandoned retransmission attempts.

If a fax has either a yellow or a red status indicator, you can force the server computer to resend the fax as often as you want. 

The following table lists all of the possible fax status messages and also includes definitions:

Bad Signature Code The signature code is not recognized as a valid signature identifier because it is corrupt or does not exist.
Call answered before one full ring The fax server did not receive a normal-length ringback signal from the phone company's central office.
Can't access scans The fax server cannot access the documents that you scanned with the scanner.
Carrier not detected The fax server did not detect a dial tone when it tried to dial out.
Command time exceeded There are timing-related errors, possibly when the fax card waits for a command or sends a command (T30 protocol handshaking commands) and does not receive a response within a given period or time.
Command time too short There are timing-related errors, possibly when the fax card waits for a command or sends a command (T30 protocol handshaking commands) and does not receive a response within a given period of time.

Loop current detected When the fax server attempts to go off-hook  to send a fax, it finds that the phone is already off-hook. This can occur when two devices share a phone line and attempt to use it at the same time. This might also be a fax card configuration error.
Loop current failed The fax card did detect current on the line, but it did not detect a valid value for LOOP CURRENT.
Loop current not detected The fax card looked for LOOP CURRENT before it attempted to dial the fax number, but it did not find any.
Network congestion detected The network may be running inefficiently and causing traffic, or an invalid fax number may have been dialed.
Network high and dry (no ring) The fax card does not detect any type of telephone interface available. This is a very serious error; contact your fax administrator immediately.
No Answer at Fax # The fax machine at the receiving end did not answer, or a wrong number was dialed.
No answer tone detected The phone is ringing at the destination, but the fax machine is not answering within the specified time. This is especially prevalent in international calling when it can take up to a minute to connect to the remote station.
Non-G3 Modem Detected The fax server detected a non-G3 (not Group III) fax modem on the remote (receiving) fax machine, and the fax server cannot communicate with the fax modem.
OCR error An error occurred while a document was being sent to an Optical Character Recognition (OCR) module or was at the OCR module.
OCR in process Your fax has been queued and is being processed by the OCR module.
OK The fax server has successfully sent your fax over the phone lines. This does not guarantee the successful receipt of the fax at its destination.
One of your outgoing faxes needs attention You have not completed all of the required fields (in the Fax Information screen or through embedded codes) for the fax to be sent.
P2 was not detected at the end of training This is a training error that indicates a performance issue with the fax server and the number of fax cards that the fax server contains.

Scheduling Failed Your fax was converted correctly, but it was not correctly queued to be sent.

SOLUTION:

This error is generated when the Workserver Module attempts to convert any document that requires the use of an RFWORK printer (i.e. SSA conversions) when the Windows Print Spooler service is not running.

Faxes sent while the Print Spooler service has not been started will show with a Status of "Problem converting Fax body or Cover Sheet" in FaxUtil.

To correct this issue, make sure the Windows Print Spooler service has been started and is set with an Automatic Startup Type.

Summary: RightFax shows a status message for each fax in Faxutil and Webutil. To learn more about why a fax transmission may have failed, the fax history includes status codes that offer concise information. This Knowledge Base article helps to decipher these Resulting status codes.


Solution Often, with failed faxes, information on the failure can be found in the transmission record for the fax.


Resulting Status Codes:
RightFax shows the line status and the fax status for T.30 (PSTN) and T.38 (FOIP) fax transmissions. These status messages can be useful in analyzing fax errors and in helping to determine the nature of a failure (to assist with issue resolution).

However, these status messages, in conjunction with troubleshooting the telephony integration, can be useful in determining the nature of failures. As the success or failure of a fax transmission is entirely dependent on the telephony transport being used, these status messages can help to determine the underlying deficiency in end-to-end communication and can be used effectively to isolate an issue when combined with further troubleshooting and error reporting in the telephony network itself.


Interpreting the Resulting Status Codes:
The fax history shows a Resulting fax status code. Both the first and second sets of numbers are gathered by the Brooktrout API to report on the call progress (reflected in the first set of numbers before the semi-colon) and the fax progress (reflected in the second set of numbers after the semi-colon).


A failure to send a fax using the server computer’s telephony integration can be generally classified into one of these two categories.


Call Setup Failures
Call setup failures occur when a call cannot be successfully placed to a dialed number. The first set of numbers can be helpful in determining call setup failures. This is especially true with Analog, Analog DID, BRI, and T1 integrations. For FoIP (either TR1034 ethernet enabled fax boards or SR140 “Boardless” fax boards), the Wireshark Network capture utility is considerably more useful for troubleshooting call setup errors.


First Set of Numbers – Call Progress Status
The first set of numbers represents the RightFax call status and the call line status. The first number is typically zero ("0") and means that the call was placed. The second number can be found in Table 1 below.


Second Set of Numbers – Fax Progress Status

(This is generally where transmission failures are reflected.)

Transmission errors occur when a call is successfully placed from the fax server to the end point fax device (or from an end point sending device to the fax server), but the overall quality of the connection between the two end points is insufficient to convey the fax data effectively to or from the remote device.

The second set of numbers in the Resulting status code reflects the outcome of the fax transmission. This information does not yield any data about why a fax failed (that is, it does not indicate the specific reason why the communication between the two end points was unsuccessful). However, it does show what happened at the time that the fax failed.

For example, a Resulting status code of "0/339; 4/75" indicates that a DCN message was received from the remote device (a DCN is the signal sent from a t.30 device that states “I’m disconnecting”). This information indicates that the remote side terminated the call, but it does not indicate specifically why the remote side terminated the call. Therefore, since this information does not explain why the remote device terminated the call, it is more useful for identifying a behavior pattern, rather than for explaining the failure of an isolated fax call.

recent article was published about the issues the Pentagon is facing with their fax machine. Earlier this year, the U.S. cut $85 billion from the federal budget. Investigative journalists have found that a fax machine at the Defense Department headquarters has not been functioning for 3 weeks now, and is hindering the ability for reporters to file Freedom of Information Act requests with the military. Not only that, this lone fax machine is the only machine that handles these FOIA requests. The machine may be out for another month!

If the Pentagon had invested in a RightFax solution, there would never be a moment when the fax machine is “broken”. For those organizations where faxing is critical, the ability to prevent downtime with their fax server is very important. The fax server performs your mission critical tasks of distributing documents, which then facilitates other aspects of the business and various business transactions. If faxing is not available, you put at risk your business operations that could then affect profitability. Fax server redundancy and disaster recovery is crucial, so that there is no interruption of service.

There are multiple options for fax server redundancy. They are:

Shared Services: A RightFax system with between two and four servers in which all servers share the same database. Events in the event queue are shared amongst the OpenText Fax Server in the 'Server Collective'. In the event of a failure of one of the systems in the 'Server Collective' the remaining systems continue to process fax jobs.

DocTransport Backup: A RightFax system in which DocTransport (formerly BoardServer) modules are installed on multiple remote servers to distribute the workload across several servers, provide expanded channel capacity and telephony redundancy. If one DocTransport backup goes down the Open Text Fax Server will automatically transfer its workload to the remaining DocTransport Servers.

Cold Spare: A RightFax System pre-installed on a secondary server system intended for use in the event of a disaster, shutdown or failure of the primary OpenText RightFax. A Cold Spare is not used in production but is available to expedite recovery time.

Active/Passive Clustering: RightFax software is installed on a passive node in an active-passive cluster. In the event the primary active" fax server fails, the secondary "passive" server is activated to continue to process fax documents.

To limit the risks to your business should a fax server crash, it is essential to have a redundant solution in place to provide continuity of your fax communications. Hey, we would be willing to give the cash strapped Pentagon a free RightFax server if we could only find the right person to speak to… but that’s a separate discussion.

Problem: Whenever I try to install the RightFax Client software or configure a fax printer on my workstation, I get a 1797 error. What's going on?

Solution:

1. Open printers from the Control Panel.
2. Create a new printer with the following properties:

RightFax FaxUtil is an easy to use interface for RightFax, allowing users to manage faxes from their desktop. The intuitive graphics gives the user an easier understanding of the different features of RightFax. There are pop-up descriptions as the user navigates the program. Users can even customize their toolbar, allowing them to select what buttons they would like to have available. The user can even customize the different views, to suit individual preferences.

Summary: In Fax Server, RightFax Edition 9.x, when FaxUtil is opened, an error message appears.

Solution:

Perform the following steps:

1. In Enterprise Fax Manager or Windows Services, check that the RPC Server Module service is running on the RightFax server.

2. Verify that the client cannot communciate with the RightFax server over specific TCP/IP ports. If you select Named Pipes as the protocol, the utility works properly.

3. To use TCP/IP, follow the steps in Knowledge base article 16219813 to reserve ports on the RightFax server. 

4. Once you have set up the registry using Knowledge base article 16219813, reboot the RightFax server.

NOTE: On some rare occasions, the ports may need to be reserved on the client workstation experiencing the issue. Please contact Advantage Support for more information.


Problem:

FAXUTIL - ADMINISTRATORS RECEIVE "ACCESS DENIED" ERROR ATTEMPTING TO OPEN FAXES IN OTHER USER ACCOUNTS.


Summary:

When logging in to FaxUtil with an administrator account, you are able to view the list of faxes in other
users' folders, but receive the following error message when you attempt to view open any of the faxes:
"Access Denied. If you are a delegate of this user, please request that the delegator grant you this
permission."

Solution:

1. Log on to Enterprise Fax Manager using another administrator account.2. Edit the user account that is having this problem.
3. On the Permissions tab, place a check mark in the Administrator can bypass privacy restrictions checkbox.

The Administrator can bypass privacy restrictions option gives users that have theAdministrative Access option selected the additional ability to view faxes in other users' mailboxes. Only an administrator that has this permission enabled can grant this permission to other users.

Warning: If you uncheck the Administrator can bypass privacy restrictions checkbox on all administrator accounts, you will lose the ability to enable this option in any user account. For this reason, you should always ensure there is at least one account with this option enabled. If you have disabled this option on all user accounts  you can no longer enable this setting for any users, please contact Advantage Technologies Support for a workaround.

Question:
Why are my Microsoft Office .doc or .docx files not converting in RightFax?
 
Answer:
This can happen for several resons. First, you will need to confirm the RightFax server has the appropriate version of Microsoft Office installed (Office 2007 or 2010 is required for .docx conversions). Second, try logging into the server using the dedicated RF service account, which is a domain account with local admin rights on the RightFax server. Verify that you can open MS Office files without the appearance of any pop-ups. If problems persist after verifying these items, then please contact the helpdesk at 212-717-7700

RightFax Microsoft Update KB961501 Disables HPFAX Printing

SUMMARY:

In Fax Server 7.x or later, RightFax Edition, when you attempt to print a document to the HPFAX Queue, the document is not printed, and a warning message appears in the Windows Event Viewer Application log.

The fax is not processed into RightFax, and the following warning message appears in the Application log:

CAUSE:

After Microsoft Hotfix KB961501 is applied, separator pages can only be placed in specific locations. The old location for RightFax separator pages, RightFax\Bin\, is no longer allowed.

SOLUTION:

To resolve this issue, select the solution for your RightFax version:

RightFax 10.0 No action is required. RightFax 10.0 is not affected by this issue.
RightFax 9.4 This issue is fixed in RightFax 9.4 Feature Pack 1.
RightFax 9.3 Download the patch in OpenText Customer Support Technical Alert 10512009, located below.
RightFax 9.0 Download the patch in OpenText Customer Support Technical Alert 10512009, located below.
RightFax 8.7 or earlier Upgrade to a later version of RightFax.

Problem: 
Fax Server - "Processed -502 messages but returned error -502 - Server unreachable (Mail Server) for the 0 in the batch" Message Appears in Windows Application Log.

Summary:

In Fax Server, RightFax Edition, using the RightFax Email Gateway, you may see the following event logged repeatedly in your Windows Application Log. Why does this error message appear, and how do you resolve it?

Cause: 

The RightFax Email Gateway is configured for SMTP, with a delivery direction of outbound, but no valid POP3 account details have been configured. Solution: Do not configure the RightFax Email Gateway for SMTP with a delivery direction of Outbound with Notifications if you are not sending outbound emails to Fax, or when no valid POP3 account information is configured. 


If the Gateway is being used only for notifications, set the delivery direction to Inbound (not Outbound with Notifications). Notifications are considered inbound messages, so this is the correct delivery direction configuration to route them to users' mail boxes. 


ummary: When you attempt to open a connection from Enterprise Fax Manager to a RightFax server on another computer, you may receive the following error message:

"Unable to read the registry of server SERVERNAME.
This is necessary to establish basic information about the NT server and
how to further communicate with the fax server software. (error code 53)."

Solution: The following items may prevent the remote registry access to a remote server, and will prevent viewing the server remotely from Enterprise Fax Manager:

1. The user account under which EFM.EXE is launched does not have Local Administrator rights on the server. This is the account you logged on to the server with when you launched Enterprise Fax Manager.

2. Remote Registry service is not running on the server you are trying to access.

3. The user running EFM.EXE is not in the Access Control List (ACL) for the following registry key on the server:

HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Control\SecurePipeServers\winreg

Note: By default local Administrators group is added to this ACL.

4. The user, or the group to which the user belongs, has been added to Security Policy "Deny access to this computer from the network."

5. The user, or all groups to which the user belongs, have been removed from the Security Policy "Access this computer from the network."

Other issues that may cause this are related to Microsoft Windows security settings or policies, and may require the assistance of Microsoft Technical Support.

Question:
Why can't I receive faxes with more than 30 pages?
 
Problem:
In RightFax, you are not able to receive faxes over 30 pages in lenght. How do you configure RightFax to receive faxes that are longer than 30 pages.
 
Answer:
If you are using a Brooktrout TR1034 fax board, edit the BTCall.cfg file, which is found in the ...\RightFax\DocTransport\Brooktrout\ folder. The BTCall.cfg file contains a parameter called "max_pagelist," which specifies the maximum number of pages allowed for storing results during a call. By default, the value of this parameter is "30," which limits faxes to thirty pages.
To allow reception of faxes containing more than 30 pages, complete the following steps:
  1. Stop the DocTransport Module (service)
  2. Edit the BTCall.cfg file. Change the value of max_pagelist to 1024. Save your changes
  3. Restart the DocTransport module

Excessive Memory Usage by the RightFax SMTP Gateway

SYMPTOMS:

The following can occur:

  • Excessive memory usage by SMTPGateway.exe is indicated in Task Manager
  • the fax server is running slow
  • Error messages that relate to connectivity and the SMTP server appear in Event Viewer
  • Error messages that relate to undelivered SMTP messages appear in Event Viewer
  • Work requests accumulate in GenMailRte and/or GenMailMsg

ERROR:

Event 3317, RightFax Email Gateway Module:

Unable to contact SMTP server- requeue for a later retry attempt.

Returned error code 536875524 (0x20001204)

CAUSE:

The following are possible causes:

  • There is a loss of connectivity to the SMTP server
  • An incorrect SMTP server address is configured in the gateway
  • Incorrect authentication information is configured in the gateway

SOLUTION:

Perform the following steps:

  1. Check for a loss of connectivity to the SMTP server.
  2. Ensure that the correct SMTP server address is configured in the gateway.
  3. Ensure that the correct authentication information is configured in the gateway.
  4. Determine if RightFax has been excluded from virus scanning software.

The rules are getting stricter as the Department of Health and Human Services is implementing tougher penalties for violations of HIPAA. Under the final rule as part of HITECH Act, the maximum penalty for a HIPAA violation comes to $1.5 million. The way the penalty is assessed is determined by the nature of the violation. Seeing it simply means that two or more database threads (local or remote server) tried to pick up a job at the same time. The database module is just letting you know that this happened. The first thread to pick up the job will process it normally.

Your files are not converting into PDF format for outbound faxing.
 
Solution:
In order to convert PDF files for outbound faxing, the RightFax server must be licensed for the PDF module. If you are not licensed and would like more information, then please contact Advantage Technologies Inc at (866) 730-1700.
 
 
 
If you are licensed please follow the steps below to verify setup: 
  1. Open Enterprise Fax Manager (EFM)
  2. Select your ServerName (TCP/IP) on the left-hand side
  3. In the bottom right, you will see a list of RF services. Double-click "RightFax WorkServer(#) Module"
  4. Select one of the workserver from the left menu (preferably #3)
  5. Highlight "Postscript" from the list and click "OK

Control-F10 is a keystroke you can use in FaxUtil to show different lists of faxes. Normally this is just a list of faxes per minute time slot. But if you change the sort order on the list, you can get tallys of faxes based on that sort order. It’s very cool and one of those hidden features of RightFax.

On February 12, President Obama signed an Executive Order on Improving Critical Infrastructure Cyber security (EO). The EO puts in place measures to encourage information sharing between the government and private industry, as well as measures to put in place “voluntary” cyber security standards for critical infrastructure.  According to the executive order, the repeated cyber intrusions into critical infrastructure demonstrated the need for improved cyber security. The government concludes that information sharing is needed to ensure that both private and government actors had the latest available cyber threat information. They are creating a Voluntary Critical Infrastructure Cyber Security Program for private critical infrastructure owners. There will be a requirement that government agencies may start assessing that if current regulatory security requirements are sufficient, and if further changes may be imposed to improve cyber security measures. Much of the impact of the EO will likely turn on how stringent the voluntary cyber security standards that it creates will be, thus changing the current regulatory standards like Sarbanes-Oxley, HIPAA or the Graham-Leach Billey Act.

When you click the Fax button, you'll get a condensed version of the New Fax Dialog. Enter the name of the person you are sending a fax to along with their fax number. This will begin to fill in the details of your fax cover sheet. Click done to close the dialog. When you return to the Microsoft Outlook message, you'll see that the To: line has been filled in with a specially formatted string. Now you can enter your subject. The average fax cover sheet typically won't have a subject, so we take that information to fill in the cover sheet notes for the fax. If you enter anything into the body of your email message, that text will become the first page of the fax. 

Attachments in your Microsoft Outlook message become each of the pages after the first page and/or the fax cover sheet. 
 
One of the features you get in the Microsoft Outlook integration is access to the Advanced Faxing Option. On this dialog you can set billing codes, other fields for the fax cover sheet, attach Library Documents defined on the RightFax Fax Server, and much more. 

When you click on send, the message is sent. This message actually starts its life as an email and Microsoft Outlook hands it off to the back-end server called Microsoft Exchange . Exchange looks at the address that you entered at the top and sees that it includes the word: rfax. That's a magic setting which tells Exchange to export the email to a special folder that the RightFax Fax Server monitors. Within a minute or so, the RightFax Fax Server picks up the message, processes it, and sends it out as a single, multiple-page fax, complete with fax cover sheet and attachments.

A large, Midwest-based Insurance company was looking to save money by replacing their existing, manual, stand-alone fax machines with a fax server solution. The system they chose would need to be virtualized, support SIP connections to their existing Cisco IP-based phone system, and would need to be able to route inbound faxes and fax delivery notifications to emails inbox's on their hosted Office 365 Outlook email accounts. In addition, they wanted to automate the delivery of transactional documents generated in their back offices applications and accounting systems.

Mayor Bloomberg, Deputy Mayor Gibbs and Health Commissioner Farley announced yesterday, February 7th, that the use of electronic health records (EHR) has led to better health outcomes for the tens of thousands New Yorkers in the critical areas of high blood pressure management, diabetes and tobacco control.  A program that began in 2005, called the Primary Care Information Project, was created to help medical providers use technology to improve efficiency and quality of health care. 
Patients attended by doctors who participated in the program for example, were reminded to take daily aspirin doses to prevent heart disease or counseled to quit smoking. With EHRs, doctors can easily view data on all their patients, which helps them modify routine office practices to help patients, and then evaluating on how well the changes worked. The use of this technology led to improvements in detecting certain preventable health problems, including high blood pressure, tobacco use, high cholesterol, and diabetes. 


The Primary Care Information Project’s great success has been recognized nationally, and has inspired a national incentive to introduce the use of EHR as a way for healthcare providers to improve the care they provide patients. The Office of the National Coordinator for Health Information Technology has funded 62 Regional Extension Centers to help over 132,000 primary care providers adopt electronic health records. To date, more than 8,000 health care providers incorporate electronic health records into their practices NYC REACH members have received over $30 million in federal and state incentive funds as a result of their adoption of electronic health records, which they are reinvesting in their practices. Many of these providers are in private practices operating in underserved neighborhoods in the Bronx, Brooklyn and Upper Manhattan.

The T.30 fax protocol was designed to be implemented over a network that provides smooth and uninterrupted data flows. Unfortunately, success is not guaranteed when trying to send fax traffic over a VoIP using the T.30 protocol. The nature of an IP network includes latency, jitter and packet-loss that are not tolerated by the T.30 protocol.
That is why the T.38 fax protocol was created to send and receive faxes in real time over a packet network, designed to preserve the traditional fax experience while compensating for the jitter, latency and packet loss that is inherit in all IP networks. Security is never comprised, and the way users send and receive faxes remains the same.

Windows 7 support for RightFax client applications was released with RightFax 9.4 Feature Pack 1. Please confirm that you are running the 9.4 client with a minimum of Feature Pack 1 applied.



Recently, the Department of Health and Human Services released a pre-publication version of the final Omnibus HIPAA rule (the Final Rule). Among the nearly 600 page rule, there was a short section about MFPs. From the update:


“RULES THAT PERTAIN TO COPIERS, MFDs, FAXING, PRINTERS with HDs: In response to commenters’ concerns that photocopiers, facsimiles, and other office machines may retain electronic data, potentially storing protected health information when used by covered entities or business associates, we clarify that protected health information stored, whether intentionally or not, in photocopier, facsimile, and other devices is subject to the Privacy and Security Rules.

“Although such devices are not generally relied upon for storage and access to stored information, covered entities and business associates should be aware of the capabilities of these devices to store protected health information and must ensure any protected health information stored on such devices is appropriately protected and secured from inappropriate access, such as by monitoring or restricting physical access to a photocopier or a fax machine that is used for copying or sending protected health information.

“Further, before removal of the device from the covered entity or business associate, such as at the end of the lease term for a photocopier machine, proper safeguards should be followed to remove the electronic protected health information from the media.”


Although fax machines and MFP are not made to permanently store information, some information is retained as part of their design (for transmission purposes). Protected Healthcare Information (PHI) may incidentally be stored in the form of a confirmation page or transmission report. If there is a device that is being discarded, coming off lease or sold, make sure that the hard drives are either removed or wiped clean, removing all PHI and freeing you from liability.

While MFPs and fax machines are not designed to permanently store information, as a part of their design, some information is retained. With respect to fax, Protected Healthcare Information (PHI) may be stored in a confirmation page or transmission report. In addition, when MFPs and fax machines come off a lease, the hard drives which store PHI must be wiped clean or removed completely.


RightFax faxing is done with a fax server, and when integrated with an MFP, RightFax controls all faxing functionality, so no PHI is stored on the MFP.
