Data breaches are on the rise. Internal breaches and external threats leaves your private information at risk. It is critical now more than ever to have your data encrypted if your organization is constantly exchanging protected information. If you send faxes with confidential information, such as health records and contracts, then you need the RightFax Encryption module.

The RightFax Encryption Module is a brand new, optional module, made available in RightFax 10.6. This module adds an additional layer of security by preventing any unauthorized viewing of fax images in the RightFax Image Directory. The RightFax Encryption Module was featured in one of our recent blog posts, ‘Top 5 Modules You May Not Know About’.

The RightFax Encryption Module adds an additional layer of protection for fax images by:

  • Encrypting both inbound and outbound fax images while they are stored in the RightFax Image Directory.
  • Encrypts all data at rest with TripleDES 192-bit security
  • Tracking and recording all access for audit purposes

The RightFax Encryption Module is perfect for:

  • Anyone exchanging protected or sensitive information such as HIPAA or PCI-DSS
  • Anyone seeking an extra layer of protection of fax images and content
  • Anyone with internal data breach concerns

Please view this PDF to read more about the RightFax Encryption Module.

The Hybrid Faxing model provides you with the flexibility of a cloud faxing service and the reliability of an on-premise fax server. Gone is the necessity of having to connect and maintain your fax server’s connection to your telephone infrastructure. Busy signals, missed or delayed faxes are a thing of the past. What remains is RightFax’s capability to integrate fax into your existing workflows, whether that means faxing from a back-office application, email, or a multi-function printer.

In a Hybrid Faxing Model with RightFax Connect, your on-premise RightFax server remains in place, but instead of connecting to your telephone infrastructure, it connects to RightFax Connect via your existing IP network. The telephony portion of your fax server is outsourced to the cloud. This connection supports a number of secure communication protocols to protect your information, including VPN, TLS, HTTPS and IPSEC. RightFax Connect then handles the transmission of your faxes, and, with over twenty points of presence around the world, they will choose the most cost effective route to deliver your outbound faxes.

RightFax Connect can scale to fit your needs. If you have spikes in traffic, a hybrid system may be the perfect solution for you. You can send and receive large volumes of faxes without capacity constraints. If speed is a driving concern, RightFax Connect can be added to your existing system in a matter of hours or you could have a complete new installation in less than a
day. All this can be done while saving your organization money and time.

RightFax has multiple modular licensing options, making it easy to integrate fax into your organizational workflow, allowing for increases in security and productivity. While many of you may be familiar with modules such as the Microsoft Exchange module or MFP module, there are a few lesser known, but powerful modules that you may find quite useful for your organization:

1. Encryption Module – One of the newer modules, made available in Rightfax 10.6, the RightFax Encryption module encrypts all fax images stored in the RightFax Image Directory, by encrypting all data at rest with TripleDES 192-bit security, adding an extra layer of protection for fax images and content. The RightFax Encryption module supports PCI-DSS and HIPAA compliance, making it important for those exchanging protected or sensitive information.

2. Searchable PDF Module – Not to be confused with the PDF module (allowing you to print PDF documents directly to the RightFax print queue as well as receive them as file attachments when using the RightFax email modules), the RightFax Searchable PDF Module uses optical character recognition (OCR) to convert sent and received fax images to searchable text. Instantly identify and retrieve the fax(es) you need by searching for keywords.

3. Integration Module – One of the more powerful modules, the Integration Module ties back-end systems into RightFax to automatically deliver documents by fax, email, print, SMS, certified email, or certified and encrypted email. Delivery from Oracle, SAP, ERP, and CRM systems is easily customizable with RightFax facsimile command language (FCL), XML, Java, and more. Delivery confirmation and audit trail data can be inserted into ERP and other back-office applications.

4. Shared Services - The RightFa x Shared Services Module enables two to four RightFax Servers to operate as a single unit by sharing a single database. It increases performance and capacity by distributing workload across servers. The module adds high availability through duplication of critical system functions, so it can keep running even if sites or servers go offline.

5. SecureDocs Module - SecureDocs certified delivery uploads your files to a secure web server in your own data center, and emails a link to the recipient. With password protection and secure web, your files are safe. To aid in security and compliance, SecureDocs also provides confirmation of receipt and an audit trail. PDF file encryption enables certified and encrypted delivery.

As you may have heard, Sony experienced a hack to their network and email system. Sony employees were not able to use their email – which led to the use of phone calls, handwritten notes, and of course, faxing, to communicate. If you think faxing is old and outdated, think again. Faxing saves the day at Sony. Among these alternatives, fax is the most reliable and secure as it is a point to point communication that is very difficult to intercept. An electronic fax can go from one party to the other, safely and securely. If you need to communicate something sensitive, we suggest you FAX it.

RightFax is a reliable, robust, easy to use, enterprise fax software solution. RightFax allows companies to combine fax, email, and internet technologies, as well as
document recognition for document delivery/archival needs. RightFax can help strengthen your infrastructure, reduce costs, increased support for VoIP/FoIP fail over, as well as enhanced reporting for better control, audit trail, security, and compliance. With numerous add-on modules, RightFax can easily be integrated with many of your current MFPs and applications (such as Exchange, Lotus Notes, and Sharepoint to name a few).

Faxing has a long history as a trusted and secure form of communication, and it’s still at the heart of many business processes and workflows today. If any of your business operations rely on fax, it may be time to consider an enterprise fax server solution or an enterprise cloud based fax service.

Consider these top three reasons to update your fax environment:

1) Increased Productivity: The latest fax solutions turn formerly paper-based faxing into electronic-based faxing, essentially taking the “paper” out of the process wherever possible. Fax servers/cloud fax solutions can integrate with desktop environments and email systems, which allows employees to send and receive fax documents directly from their computer. This greatly improves worker efficiency by letting users work from their preferred environments.

2) Reduced Costs: Companies that rely on paper-based fax machines know how time-consuming, costly, and frustrating they can be. By implementing electronic-based faxing and getting rid of physical fax machines and phone lines, you can reduce both the amount of money required to support these legacy fax machines as well as reduce your IT support costs. The right fax solution helps you accelerate business processes in a cost-effective manner.

3) Improved Compliance: Businesses face serious risks from noncompliance, with both financial and reputational ramifications. Government regulations and standards are constantly evolving, impacting how businesses around the world secure and manage their information. As pressure grows to more closely manage fax communications and document processes, leading organizations are turning to enterprise fax solutions to help them secure, track, and store information for compliance purposes.

With more than 10,000 RightFax solutions deployed worldwide, Advantage Technologies is a leader in architecting, installing and supporting on-premise and cloud-based enterprise fax and automated electronic document delivery solutions in North America.  Data security, privacy, and sovereignty are key components of any RightFax solution, providing reliable exchange of even the most sensitive records, whether via an on-premise fax server, or in the cloud with multiple cloud fax options.
