Fax Approvals
Requiring Outbound Fax Approval with RightFax
Sending faxes containing protected information also means sharing the responsibility for that information. Having a fax opened or tampered with by the wrong person, either accidentally or out of ignorance, may result in significant fines and undesirable results.
Healthcare organizations must be particularly careful about this as HIPAA considers any unnecessary accessing or sharing of a patient’s private information to be a violation of the law.
With RightFax, you can keep information protected by requiring prior approval for all outbound faxes. Each user’s profile can be configured to require that outbound faxes only be sent after having been approved by a RightFax administrator or a group monitor. A fax may also require approval because it was blocked by a dialing rule. In this case, only a RightFax administrator can approve the fax.
If the fax is approved, it is immediately scheduled to send. If the fax is not approved, it will appear with a status of “Fax was disapproved” in the original sender’s FaxUtil mailbox.
With a fax approval workflow strategy in place, your organization can benefit from clear insight into the outbound transmission of protected information and ensure that protected information remains protected.
